Dutch payroll records may show salary and wage tax while bank movements, filed returns, and payment records differ. Withholding, receipt of income, filing, and payment are separate events with different tax consequences.
Why this matters
A payslip belongs in the payroll file, but it cannot settle a difference on its own. When cash is tight, a BV may book salary, net pay, and wage tax while delaying payment. That can affect reported profit, cash planning, and the director’s personal return. Withholding, income received, filing, and payment can have different tax consequences. The BV remains responsible for its return, even when a payroll provider prepares it.
Example
A founder delays two months of net salary until customers pay their invoices. Payroll still runs, and the ledger shows salary expense and unpaid amounts. The BV also pays a private invoice for the founder and posts it to the director’s current account. That entry may show whether salary stayed unpaid, was set off, or became available. The bank, salary agreement, payroll journal, tax return, and current-account record need to support the same timeline.
XTROVERSO tips
- Reconcile one payroll period at a time. Match the payroll journal with the bank, filed wage-tax return, payment reference, and general ledger. Record each difference and name the person responsible.
- Separate the key events. Record what was calculated, withheld, reported, paid to the worker, and paid to the tax authority. Do not treat these as one payroll event.
- Check DGA current-account entries. Review salary separately from loans, dividends, private expenses, and current-account movements. Add a date and reason to every set-off.
- Keep your own payroll archive. Save payroll journals, wage statements, filed returns, submission confirmations, corrections, and bank evidence. Do not rely on one mailbox or provider account.
- Resolve errors promptly. Check whether a correction is needed when payroll, annual wage information, and filed returns differ. Update related records before the same error reaches the personal tax return.
