  • Missing Sales Invoices Put VAT Returns at Risk
  • Missing Sales Invoices Put VAT Returns at Risk

Missing sales invoices can leave turnover and VAT outside the accounting file. A simple handover and reconciliation process helps close the gap before filing.

Dutch businesses that discover underreported VAT generally have eight weeks to submit a supplementary return. A sales invoice missing from the accounts can leave VAT unpaid and force a later correction.

    Why this matters

Your adviser prepares the VAT return from the records received. An invoice left in email, a customer portal or project software may never enter the accounting file. Turnover, customer balances and VAT may then be wrong. A later correction can claim cash already set aside for payroll, suppliers or investment. Outsourcing the return does not supply a missing invoice.

    Example

A consultancy sends two invoices through a customer portal. They never reach the accounting package. Its adviser files the quarterly VAT return without them. When the customer pays, the bank receipt has no matching open invoice. The business must trace the sale, check the original VAT period and consider a supplementary return. The VAT payment now affects a later cash period.

    XTROVERSO tips

    • List every invoice source. Write down where sales invoices and credit notes are created. Include accounting software, email, spreadsheets, project tools and customer portals.
    • Set one handover deadline. Agree when the complete invoice file must reach your adviser. Give one person responsibility for confirming it is complete.
    • Reconcile before approval. Compare invoice numbers, credit notes and ledger turnover with the draft VAT return. Check missing numbers and unusual customer balances.
    • Treat bank receipts as a warning. Investigate payments that do not match an open invoice. A bank feed can expose a gap, but it cannot replace the invoice register.
    • Record corrections promptly. Note the discovery date, invoices, VAT periods and decision. Check whether the eight-week deadline for a supplementary return applies.
