  • Weak Leave Records Can Lead to Wage Claims

    Leave approval alone does not explain what happened to an employee’s hours or wages. Clear records reduce payroll corrections, cash surprises and disputes.

    Recent Dutch court decisions are putting weak leave administration under sharper scrutiny. When an employer disputes a leave balance, its own records must support its position. Gaps between worked hours, approved absence and payroll can turn a routine leave issue into a wage claim.

    Why this matters

    Dutch employees receive statutory holiday equal to four times their weekly working hours. Wages continue during that leave. Extra holiday, ADV, compensatory time and unpaid leave follow different rules. The employment contract and any applicable collective agreement help determine them. A disputed balance can delay final payroll and require wage or tax corrections. It also takes cash and staff time. When rosters, leave files and payroll records conflict, the employer has a weak evidence file.

    Example

    An employee covers a Saturday shift after agreeing to take Tuesday off. The roster records Saturday. A message contains the agreement. The leave system shows an approved absence on Tuesday. Months later, the employee leaves. The records do not show whether Tuesday was holiday, compensatory time, ADV or unpaid leave. Payroll cannot confirm which balance changed. The employer must reconstruct the agreement before completing final pay.

    XTROVERSO tips

    • Map every record. List where hours, leave and payroll instructions are stored. Include rosters, HR files, spreadsheets, email and messages.
    • Classify leave before approval. Require the correct category for every absence. Check the employment contract and applicable collective agreement when the rules are unclear.
    • Reconcile records monthly. Compare worked hours, extra hours, leave movements and payroll. Start with staff who had roster changes or manual corrections.
    • Control manual changes. Record who changed a balance, why it changed and which document supports the correction. Keep the original entry visible.
    • Check balances before final payroll. Confirm statutory holiday, extra holiday, ADV and compensatory time separately. Resolve differences before processing an employee’s final pay.
