  • Old Holiday Hours Can Disrupt Final Pay

    A holiday balance can contain hours with different legal time limits. Clear records prevent late surprises in the final payroll and cash planning.

    A recent Dutch employment dispute has put old holiday balances and final pay back in focus. One payroll total may combine statutory and above-statutory hours with different time limits. Missing dates or categories can turn a final payslip into a wage dispute and an unexpected cash cost.

    Why this matters

    Statutory holiday usually expires six months after the accrual year ends. It may remain valid if the employee could not reasonably take leave. Written terms may be more favourable. Above-statutory holiday usually has a five-year limitation period. When employment ends, remaining entitlement must be paid at its wage value. The employer must provide a holiday statement. A pooled balance hides the accrual year, category and expiry treatment. That can delay final payroll and disrupt cash planning.

    Example

    A small restaurant relies on its head chef during busy months. Managers discussed several leave requests verbally and postponed them. They recorded no alternative dates. The payroll file shows one large balance without accrual years or categories. When the chef leaves, the employer cannot identify expired hours, payable hours or whether leave was reasonably available. The payroll provider can process a figure, but it cannot reconstruct the missing leave record.

    XTROVERSO tips

    • Split the balance. Record statutory and above-statutory hours separately. Keep the accrual year and expiry or limitation date with each block of hours.
    • Match the records. Compare payroll settings with the employment contract, staff handbook and applicable collective labour agreement. Resolve differences before an employee leaves.
    • Record each leave decision. Keep dated requests, approvals and written refusals. Note the business reason for a refusal and any alternative dates offered.
    • Review high balances early. Check unusual balances during the year. Look for illness, staff shortages, postponed leave or one employee holding essential customer or supplier knowledge.
    • Reconcile before final payroll. Prepare a clear file with surviving hours, wage value and the calculation. Include the required holiday statement and ask a second person to review it.
